TABLE OF CONTENTS

Class Withdrawal Date

New field captures when a student actually stops attending -- for more accurate reporting.

What Is It

A new optional Class Withdrawal Date field is now available for students who did not complete a class. Available when editing transcripts, this enhancement ensures attendance and transcripts more accurately reflect the withdrawal date.

Who It’s For

Registrars, academic admins, and compliance teams managing transcripts, attendance, and reporting.

Problem Solved

Previously, scheduled hours continued through the class end date even if a student withdrew early—artificially inflating attendance percentages and creating inconsistencies across systems.

Why It Matters

This new field ensures attendance and transcript data accurately reflect when a student stopped attending, rather than defaulting to the class end date.

Details

  • Available when Units Complete = No on a transcript
  • Withdrawal Date must:
    • Fall within the class date range
    • Be after the Last Date of Attendance
  • Reflected across:
    • Student reports
    • Student portal
    • Attendance integrations
  • No configuration required

Who It’s For

Financial aid teams, compliance officers, and administrators managing SAP for clock hour programs.

Problem Solved

Previously, probation timing could be inconsistent or manually managed, increasing risk of misalignment with payment periods and compliance standards.

Why It Matters

This enhancement ensures SAP probation timing aligns with regulatory and payment period requirements for clock hour programs. By automating the start date, institutions gain improved consistency, accuracy, and audit readiness in SAP tracking and reporting.

Details

  • Automatically sets Probation Start Date based on the next SAP payment period start date
  • Driven by SAP payment period structure
  • Supports varied clock hour program configurations

  • No configuration required

Class Session Segments  (Coming Soon)

Support evolving class schedules within a single course.

What Is It

Soon, institutions will be able to define multiple scheduling structures within a single class, allowing schedules to evolve throughout the duration of a course. Whether adjusting instructional hours mid-course or blending structured and flexible formats, this capability will better reflect how programs operate in practice.

Who It’s For

Academic operations teams managing complex schedules, especially in clock-hour and hybrid programs.

Problem Solved

Today, evolving schedules often require manual adjustments or separate class structures, leading to inefficiencies and potential inaccuracies.

Why It Matters

This enhancement reduces the need for manual workarounds while improving accuracy in attendance tracking, instructional hour calculations, and reporting — especially for clock-hour and hybrid programs.

Details

  • Define multiple schedule segments within one class
  • Support changes in instructional hours mid-course
  • Enable blended or hybrid scheduling models
