Portico SIS Release Notes - September 2025
This month, we are highlighting new features which give schools greater operational flexibility by streamlining class creation, enhancing grading customization, and supporting varied enrollment and billing models to better align with institutional needs and processes.

Copy Classes Tool
With this new feature, administrators have the ability to copy classes from the List Inventory, edit details as needed, and finalize creating new classes with unique class IDs. This could be used when schools need to open an additional class in the current term and for creating new future term classes.
What Is It
The ability to create new classes by copying a class or classes from the existing inventory.
Who It's For

Staff no longer need to manually add classes one at a time. Copying classes will reduce the administrative burden experienced with the current process of creating classes.
Why It Matters
This efficiency increases productivity in the Registrar’s department and improves the user experience.
Details
- Within Classes at the List Inventory module a user will select Copy Classes. A column with checkboxes will populate allowing a user to select classes to be copied. Selecting Save is required to continue.
- After selecting Save, a user may either select the Edit icon at the class to directly update relevant data fields or apply to all selected classes by using the drop-down menu to select data fields to be updated. If the user chooses the drop-down menu, the Faculty data field must be included in the selection. By default, the AY Template and Course Dates are presented.
- If the class was updated directly, the user would select Save Class, then select Finalize.
- If classes were updated using the drop-down, the user would select Replace Values, then select Finalize.
Dual Component Validation for Final Grades
With this new feature, administrators are now able to set a dual component for a final course grade in which a student must meet standards outside of the course grade rubric prior to the course being considered as “Units Completed”.
What Is It
The ability to safeguard which courses are considered complete by restricting the grade entry selections. Users are able to manage multiple components for a course while evaluating final grade posting.

Ensures a course is not considered completed until a student has completed the required number of services, skills, and/or minimum exam score.
Why It Matters
With this safeguard in place, schools can increase adherence to compliance and enforce institutional, regulatory, and/or accreditor standards.
Details
- The components must be preconfigured for the courses within the Services Template at the List Inventory module.
- Within Classes at the List Inventory module a user will select the flag labeled “Dual Component Final Grade”.
- If a student is registered in a class flagged as “Dual Component Final Grade” and hasn’t met all the requirements for the course, when posting a final grade at the student Academic screen, only grades not flagged as “Units Complete” will populate for selection.
- If a student is registered in a class flagged as “Dual Component Final Grade” and hasn’t met all the requirements for the course, when posting a final grade via Batch Final Grade Posting, the record will be excluded from adding and finalizing the grade. The message “Services not met” will be displayed in a new column labeled “Not Ready”.
Hours Attended Method for Billing and Revenue Recognition
This new feature expands system flexibility and supports school operational choice. Billing periods and revenue recognition can be evaluated based on student hours attended. This option should align with a clock hour program’s definition of the end of the SAP period.
What Is It
Clock hour programs have three options for determining the end of the payment period for SAP purposes. Schools may chose to evaluate the SAP payment period in the same manner or differently than the billing payment period. The SIS now supports scheduled hours and attended hours for billing and revenue recognition.

Why It Matters
These new features support school operational choice for clock hour programs regarding when charges are assessed and how to recognize the revenue.
Details
- Billing Cycles
- When the Billing Cycle Type is “Payment Period”, billing will reference the “End of Payment Period” defined in the program’s Academic Year Template.
- Revenue Method
- When the Revenue Method Type is “Attended Hours”, revenue will be recognized for the month based on the student’s hours attended in that month.
Overall Enrollment Weighted Grade Average (GA scale) option
This new feature expands system flexibility and supports school operational choice for enrollments evaluating on a Grade Average scale.
What Is It
Schools now have the option to evaluate the overall qualitative outcome of an enrollment using either a straight Grade Average or a weighted Grade Average. Grade Average is a 100-point scale instead of the standard 4-point GPA scale.
Who It's For
Academic, Registrar, and Student Success Departments.
Why It Matters
Instead of requiring changes in operations to fit the software, choice allows the software to fit the operational process.
Details
- A flag “Weighted” has been added to the Academic Year Template. Selecting this flag will enable a weighted Grade Average calculation for all programs belonging to that Academic Year Template.
- A Weighted GA calculation multiplies the grade percentage by course hours to produce the weighted points. Weighted points are totaled and then course hours are totaled. Weighted hours are divided by the total clock hours to calculate the final GA.
School Holidays & Breaks
With this new feature, administrators are able to inventory dates that a school campus is closed, and classes are not in session.
What Is It
A new List Inventory section which will be referenced to prevent scheduling classes and gradebook entries on school-closed dates. Attendance entries conflicting with Holidays & Breaks will be prohibited, except for integration-received attendance.

Improved usability when scheduling class days and safeguarding compliance standards by not allowing attendance to be recorded for dates identified as a holiday or break.
