Portico SIS Release Notes - August 2025


This month, we are highlighting Automated External and Internal Communication and Task Board Activities which help you and your staff automate outreach to students at critical milestones while also including the options to delegate tasks and bring awareness to appropriate staff.  


TABLE OF CONTENTS


With this new feature, administrators are now able to create automated external and internal communications based on the attendance records associated with the classes students are scheduled for. The event triggers are  

  • Class Attendance Percentage 
  • Class Consecutive Days Absent
  • Class Days Since LDA  
  • Class Risk-Level.   

(**The triggers are also available based on the overall enrollment.). Class-level events are preferred when students are scheduled in multiple classes concurrently and when an institution’s attendance policies align with individual class or course attendance.       


What Is It

Class-level Attendance events allow messages to be automated for students and internal staff based on a student’s attendance within the class they are scheduled in.

Academic, Student Success, and Retention Departments  


Problem Solved

Automated messaging ensures the appropriate message is sent at the critical moment for the student.  Staff no longer need to manually identify the students, send communications to the students, and escalate to appropriate staff as needed.   


Why It Matters

Research shows students who receive regular updates on attendance and grades are 27–38% more likely to 

improve course completion and experience improvement in overall GPA. 


Details: 

  • The “Student” Lifecycle milestone must be enabled. 
  • The events are triggered when the student's attendance in a class meets the defined criteria.
  • Communication is sent via a campaign.  Campaign pathways include email, SMS/MMS, WhatsApp, and the Verity Student mobile app.   
  • The events can be configured to send a message one time to the student, or more times if the student remains to meet the criteria. 
  • Users may determine the number of days to pause the communication if set to send more than once. 
  • All events are configurable by campuses, programs, and statuses. 
  • All communication sent is documented in the student contact hub. 
  • Activity related to the campaign can be found in the Campaign Manager. 
  • Internal notifications and phone campaigns are available for staff awareness and action.

Push Notifications for all events within Lifecycle Workflows: Verity Student Mobile App Users 

With this new feature, administrators are now able to create push notifications within all Lifecycle Workflow milestones, excluding the Lead Lifecycle.  This feature allows automated messaging to be delivered via the Verity Student mobile app for all events in the Lifecycle.  This communication pathway is an additional option that can be used on its own and in conjunction with email, SMS/MMS, and WhatsApp.     


What Is It 

Automated messaging can be delivered via the Verity Student mobile app beginning at the Applicant Lifecyle for all events when the contact/student meets the criteria.  


Who It's For

All departments within a school that is utilizing the Verity Student mobile app

Enables an additional pathway for schools to communicate with students.  


Why It Matters

Reach students where they are.  Research shows that students now prefer texting and app notifications as opposed to email or phone calls.     


Details

  • Available to Verity Student mobile app users only 
  • All events at each Lifecyle milestone contain a drop-down to select the Push Notification Template.  
  • A Push Notifications Templates inventory has been added on the Communication Templates screen.
  • Templates allow insert fields and links.
  • Messages exceeding 150 characters will be truncated in the preview view.
  • When an event is triggered, a notification will pop-up on the student’s device.
  • Clicking on the notification will direct to the student’s mobile app.

Phone Campaign assignment within Student Lifecycle Events 

With this new feature, administrators now have the option to map a Phone Campaign to all Student Lifecycle events, excluding Verity Pay events.  Phone Campaigns are Team Campaigns that live on the Task Board, where you can assign teams to conduct outreach. This update empowers teams to efficiently work phone tasks within a structured, lifecycle-based framework.    


What Is It

Alerts staff via the Task Board automation that they need to conduct phone outreach to students based on an event trigger such as Consecutive Days Absent.

Problem Solved

Drives staff awareness and generates the staff’s call to action.  


Why It Matters

Automation and written communication are effective; however, some cases require a staff member to speak to the student. The phone campaign ensures the staff member is aware of whom to contact and tracks the completion of the task. 


Details

  • The Team Campaign must be created in advance on the Campaign Manager screen.   
  • Campaigns can be bundled under any existing task board speed lane, or you can create new lanes to support your process.  


Faculty displayed within the Student Mobile Check-in Report 

With this new feature, a user has visibility via a column on the faculty members assigned to a class in which a student is currently checked in via the Verity Student mobile app.  The Faculty column can be used for sorting, grouping, and filtering.  

 

What Is It

The Student Mobile Check-in report displays student’s that have checked in to a schedule class “today” using the Verity Student mobile app.  The report now contains a column that will return the Faculty members assigned to the class in which the student is checked into.  


Who It's For

Academic, Registrar, and Student Success Departments.  All Department Directors 


Problem Solved

Improved usability: Although the report contained check-in details including class name and class session, it did not include the faculty member in the details.   


Why It Matters

Including the faculty member allows a user to easily distinguish a unique class or cohort.

Copy Class Tool 

With this new feature, administrators have the ability to copy classes and then edit details as needed.  This could be used when schools need to open an additional class (duplicating) and for creating new future classes. 


What Is It

The ability to copy a class or classes from the existing inventory  


Who It's For

Registrar Department 


Problem Solved

Improved usability: Copying a class will reduce the administrative burden associated with the current process of creating classes.
