Portico SIS Release Notes - October 2026

This month’s Portico SIS updates help your team reduce manual work, improve reporting accuracy, and streamline financial operations. Automated Repeat Course Policy ensures GPA and GA calculations consistently follow your institution's rules, without manual grade adjustments. Expanded Enrollment Status Filtering delivers more complete and accurate reports across all enrollment statuses. And Partial-Month Revenue Recognition for Leaves of Absence helps ensure revenue is recognized accurately before and after a student’s leave. Plus, several additional enhancements make it easier to manage academic records, reporting, and student finances.

TABLE OF CONTENTS

Automated Repeat Course Policy

Count the right attempt toward GPA and GA, automatically

What Is It

Each Program of Enrollment can now have a Repeat Course Policy that decides which attempt of a repeated course counts toward GPA or GA. Attempts the policy excludes are marked with an asterisk on the Academics screen and on printed transcripts.

Who It’s For

Registrars, Academic Administrators, Financial Aid and Compliance staff, and anyone who prepares or reads transcripts.

Problem Solved

Staff had to identify repeated coursework and manage grades by hand to keep GPA and GA in line with the school’s repeat policy.

Why It Matters

GPA and GA now follow the school’s policy consistently across academic records, portals, transcripts, reports, and SAP, without manual grade maintenance. The asterisk explains, on screen and on paper, why a passing grade carries no quality points, so a credential evaluator, licensing board, or accreditor does not read it as an error.

Details

  • Choose from four policies: All Attempts, Highest Grade, 1st Attempt, or Latest Attempt. When no policy is selected, GPA and GA are calculated exactly as before.
  • A repeated course is the same course number and version. Any number of attempts is supported.
  • Only the attempt the policy selects counts toward GPA or GA. W, I, and RPT grades and transfer credit are never selected as the attempt that counts.
  • Highest Grade compares grade values on GPA programs and completion percentages on GA programs.
  • Pace and completion rate still include every attempt. For SAP, the policy applies to the GPA or GA measure only.
  • The updated GPA and GA appear everywhere they are shown today, including the contact grid, the Academics screen, the student portal and mobile app, reports, transcripts, SAP logs, and the SAP status sent to Portico Financial Aid.
  • Excluded attempts show an asterisk after the grade, for example B*, on the Academics screen and on Official and Unofficial transcripts. On the Academics screen, hovering over the asterisk explains it. No asterisk appears when a program has no policy selected or uses All Attempts.
  • Two new Paperless insert fields in the Transcript section: Repeat Policy prints the program’s policy, and Repeat Course Legend prints a note explaining the asterisk when the student has an excluded attempt.

Action Required

Contact Portico Support to turn on the Repeat Course Policy for your school.

  • In List Inventory, set the Repeat Course Policy on each Program of Enrollment.
  • Saving the policy does not recalculate existing students. Each student’s GPA and GA update the next time their academic record is recalculated, such as when a grade is saved, so existing students will move to the new policy gradually.
  • Optional: add the Repeat Policy and Repeat Course Legend insert fields to your Official and Unofficial transcript templates.

Enrollment Status Filtering Across Every Section

Report results now include every student in the status you select

What Is It

The Enrollment Status filter on SIS reports now searches statuses in every section of the enrollment record, lets you pick statuses by section, and is paired with an Enrollment Status column on more reports.

Who It’s For

Registrars, Academic Operations, Financial Aid, and Business Office staff who run SIS reports.

Problem Solved

Statuses set up under Probation, Leave of Absence, or Other were missed by the report filter, and similarly named statuses were hard to tell apart.

Why It Matters

Previously, selecting a status from the Probation, Leave of Absence, or Other sections could return no students, or an incomplete list, even when students were in that status. Lists used for SAP reviews, LOA follow up, and audits had to be checked against individual records. The filter now matches what is on the student’s enrollment, and the new column lets you confirm each student’s status directly in the results.

Details

  • Selecting a status returns matching students whether that status sits under Enrollment Summary, Probation, Leave of Absence, or Other.
  • Leave of Absence, Probation, and Other statuses match only while they are current. A record whose return date or end date has already passed no longer meets the filter.
  • The filter opens by section: All Statuses, Enrollment Summary, Probation, Leave of Absence, and Other. You can select multiple statuses within a section and across sections, and your selections are kept as you move between sections.
  • An Enrollment Status column now appears on 22 reports, including Satisfactory Academic Progress, Attendance Summary, GPA/GA, Withdrawal Details, and Ledger Enrollment Balance. The column is included in exports and can be sorted and grouped. The 90/10 and Financial Aid Academics Audit reports gain the updated filter only.
  • The Enrollment Status column shows only the status on the student’s enrollment, as selected in Enrollment Summary. Columns for Leave of Absence, Probation, and Other statuses will be added to these reports in a future release.
  • Your report results may change. Students in Probation, Leave of Absence, or Other statuses may now appear where they did not before, and students whose leave or status has already ended no longer appear. Saved exports or reconciliations built on earlier results may not match.

None. Feature is automatically available.

Partial-Month Revenue Recognition for Leaves of Absence

Recognize the revenue a student earned before and after a leave

What Is It

Revenue recognition now earns the portion of a month completed before a leave of absence begins and after the student returns, instead of holding back the whole month.

Who It’s For

Bursars, Business Office and Finance staff, and Controllers.

Problem Solved

When a student started a leave partway through a month, none of that month’s earned revenue was recognized.

Why It Matters

A student whose leave started on August 26 had already completed 25 days of instruction in August, but that revenue stayed unearned until the student withdrew or graduated, which could be quarters later. Monthly revenue now reflects the instruction actually delivered, which makes month-end close and audit reconciliation more accurate.

Details

  • Recognition uses the leave start and end dates recorded on the student’s Leave of Absence entry. For a leave starting August 26, the student earns August 1 through August 25, then recognition pauses.
  • When the student returns, the return month is also partial, starting from the leave end date.
  • Works the same for every earning method: scheduled hours, attended hours, weeks, and calendar days.
  • Leave periods are accounted for within Term, Payment Period, and Program earning periods. For Term, value suspended during a leave that runs past the end of a term is released in the next term.
  • Total revenue earned at graduation or withdrawal still equals the student’s charges.
  • For scheduled hours programs, unschedule the student’s class days when placing them on leave. Otherwise days after the leave start continue to earn.

Action Required

None. Feature is automatically available.

Cancel Reason on the Enrollment Record

Track why students cancel separately from why they withdraw

What Is It

A new Cancel Reason field on the enrollment screen, directly below Withdrawal Reason, with its own list of reasons.

Who It’s For

Registrars, Admissions and Enrollment staff, and School and Campus Directors tracking retention.

Problem Solved

Cancellations and withdrawals shared a single reason field, so cancel reasons could not be recorded or reported on their own.

Why It Matters

Students who cancel before or shortly after starting leave for different reasons than students who withdraw mid-program. Recording those reasons separately gives schools a clearer view of where they lose students and why.

Details

  • The Withdrawal Reason list in List Inventory is renamed Cancel & Withdrawal Reasons and gains two checkboxes for each entry: Is for Cancel and Is for Withdrawal. An entry can feed one drop-down or both.
  • At release, every existing entry is marked Is for Withdrawal only, so your Withdrawal Reason drop-down is unchanged and the Cancel Reason drop-down starts empty.
  • Cancel Reason and Withdrawal Reason are independent. Setting one does not clear or change the other.
  • Status Field Settings lets you show or require Cancel Reason for each status, the same way as other enrollment fields.
  • Every change to Cancel Reason is recorded in the student’s Change History and can be reported on in the Student History Report.
  • The Students by Start Date and Program report includes a Cancel Reason column next to Withdrawal Reason, also included in the Excel export.

Action Required

In List Inventory > Cancel & Withdrawal Reasons, check Is for Cancel on the reasons you use for cancellations. Cancel Reason stays empty until you do.

Optional: in Status Field Settings, show or require Cancel Reason on your cancellation statuses.

Class Registration and Graded Courses via API

Bring class registrations and graded courses in from partner systems

What Is It

Two new SIS inbound API endpoints let integration partners register students into classes and add graded courses to a student’s record.

Who It’s For

IT Administrators and integration partners, and Registrars at schools that schedule or grade in another system.

Problem Solved

Class registrations and graded coursework from other systems had to be entered into the SIS by hand.

Why It Matters

Less manual entry and fewer keying errors. Records created through the API look exactly like records created in the SIS.

Details

  • Register Student for a Class places a student in a class so they are ready to receive attendance, graded items, and a final grade.
  • Add a Graded Course adds a graded course to the student’s record. The student does not need to be registered or scheduled into the class first.
  • Both require the student to be actively enrolled in the program and the course to be part of the program configuration. Requests that do not meet these rules are rejected with a clear message.
  • The class is identified by term code, class session code, course, faculty, date range, and campus or room. A request that does not match exactly one class is rejected.
  • Duplicate requests return a clear response and do not create duplicate records.
  • Bulk requests are supported. Each record is validated on its own, so valid records are saved even when others fail, with an error message for each failed record. Large batches run in the background and return a batch job ID.

Action Required

Your integration partner must build to the new endpoints.

Projected Grad Date on Seven More Reports

Spot students falling behind without opening each enrollment

What Is It

A Projected Grad Date column has been added to seven attendance, academic progress, and financial aid reports.

Who It’s For

Registrars, Academic Operations, and Financial Aid staff.

Problem Solved

Comparing a student’s Projected Grad Date to their Expected Grad Date or Contract End Date meant opening enrollments one at a time or matching two exports by hand.

Why It Matters

A Projected Grad Date that is later than the Expected Grad Date or Contract End Date is an early sign that a student is falling behind, which affects maximum timeframe for SAP, overtime charges, and re-contracting. Staff can now spot these students directly in the reports they already use.

Details

  • Added to Attendance Summary, Attendance by Enrollment, Satisfactory Academic Progress, Financial Aid Academics Audit, Enrollment Demographic Detail, LOA & Re-entry Details, and Institutional SAP.
  • Where a report already shows Expected Grad Date or Contract End Date, the new column sits beside it. Otherwise it appears after Shift.
  • Shows the Projected Grad Date from the student’s enrollment record and is included in each report’s Excel export.

Action Required

None. Feature is automatically available.

GPA/GA Filter for Ledger Adjustment Batches

Build academic-based ledger batches without leaving Portico

What Is It

The Ledger Adjustment Batch utility now includes a GPA/GA filter when starting a new batch and a GPA/GA column on the batch.

Who It’s For

Bursars and Business Office staff.

Problem Solved

Postings based on academic standing, such as merit discounts or academic fees, required building the student list outside Portico and adding each record by hand.

Why It Matters

Batches tied to academic performance can now be built in a few steps, and the GPA/GA column lets you confirm the audience before posting.

Details

  • Find it under Analytics Portal > Utilities > Ledger Adjustment Batch.
  • The filter offers the same selections as the GPA/GA report and combines with the existing filters.
  • Both the filter and the column use cumulative actual (earned) GPA/GA, the same value shown in the contact grid.
  • Enrollments with no GPA/GA on record show blank and are left out of the filter unless you choose to include them.
  • The GPA/GA column shows by default, can be hidden like any other column, and is included in the Excel export.
  • GPA/GA only determines which students are in the batch. It does not change the amount posted.
  • No new permission is needed. Existing access to the Ledger Adjustment Batch utility applies.

Action Required

None. Feature is automatically available.

TFC Interest Posting

Show the full financed amount on the student ledger

What Is It

The TFC connector can now post the interest from the TFC file to the student ledger as a charge and a matching payment, alongside the principal.

Who It’s For

Bursars and Business Office staff at schools that finance tuition through TFC.

Problem Solved

Only the principal payment posted, so the ledger did not reflect the full amount financed.

Why It Matters

The student ledger now matches what was financed through TFC, without manual entries.

Details

  • Off by default for every school.
  • When on, interest posts as a charge (debit) and a matching payment (credit), each to the ledger code you map.
  • Transactions with no interest post the principal only, exactly as today.
  • Applies to new TFC transactions only. Past transactions are not changed.

Action Required

Contact Portico Support to turn on TFC interest posting for your school.

In Integration Mapping, map the Interest Charge and Interest Payment ledger codes.
