R2T4 Module Will Not Generate Because Student Is Not in Withdrawn Status

Issue

The R2T4 module in Campus Ivy is not generating a calculation for a student who has stopped attending and should be subject to a return of funds. The CI Refund team or the school cannot initiate the R2T4 process.

Why This Happens

The R2T4 module in Campus Ivy is triggered by the student's enrollment status. If the student's status has not been updated to "Withdrawn" in the SIS, the system does not recognize the student as having left the program and therefore will not generate an R2T4 calculation. The student must be formally marked as withdrawn before the R2T4 workflow can begin.

Steps to Resolve

  1. In the SIS (or Campus Ivy, depending on where enrollment status is managed for your school), update the student's enrollment status to "Withdrawn" with the correct last date of attendance.
  2. Once the status is updated, confirm the change has synced to Campus Ivy. If your school uses a separate SIS that feeds Campus Ivy, allow time for the nightly data sync or trigger a manual sync if available.
  3. After the status is confirmed as "Withdrawn" in Campus Ivy, the R2T4 module should generate automatically. If it does not appear within one business day, submit a ticket to CI Refund with:
    • Student name and Campus Ivy ID
    • Confirmation that the withdrawal status and last date of attendance are set in the SIS
    • The expected last date of attendance

Important Notes

  • The 30-day R2T4 completion window begins on the Date of Determination, not the last day of attendance. Update the student's status as soon as the school determines the student has withdrawn to avoid compliance delays.
  • For students on Leave of Absence (LOA), the withdrawal status should only be set if the LOA has exceeded the allowable limit (typically 180 days) or if the student has formally indicated they will not return. Setting a student to withdrawn incorrectly will trigger an R2T4 that may not be warranted.
