Coordinator: Changing a Preceptor or Supervisor's Account Role and Assigning Clinical Sites

Overview

Preceptors and supervisors sometimes register using the student registration link by mistake, which leaves them with the wrong account type. Coordinators can correct this directly from the Admin Panel without contacting support. Once the role is corrected, you also need to assign the user to their clinical sites so they can view student records at those locations.

Step 1: Change the User's Role

  1. Go to the Admin Panel.
  2. Click Users in the left menu, then click Manage.
  3. Find the user in the list and click the pencil/paper edit icon to the far right of their name.
  4. In the detail screen, open the Status dropdown and select the correct role. Most programs use Supervisor for site-based preceptors and instructors, but available statuses are customizable to your program.
  5. Click Submit to save the change.

Step 2: Assign the User to Clinical Sites

After correcting the role, the user will not automatically see student records until assigned to a site.

  1. In the Admin Panel, click Users, then click Assign Sites.
  2. Select your Area from the dropdown.
  3. Click Add New.
  4. In the popup, choose the Site Name and the User Name you want to associate.
  5. Click Add.
  6. Repeat for each additional site if the user works at more than one location.

Notes

  • If a preceptor registered but does not appear in your supervisor list after the role change, allow a few minutes and refresh. If they still do not appear, contact support.
  • User role labels (Supervisor, Faculty, Site Employee, etc.) are configurable per program. If you are unsure which role to assign, refer to what was set up during your pre-launch training or contact support for guidance.
